Resource Support Clerk (Finance)



Position Summary: The Resource Admin Clerk is responsible for assisting Procurement, Production and Accounting personnel in both Juliaetta and Sandpoint in meeting pole production, timber harvest and raw materials procurement objectives.

General Responsibilities:

  • Liaison with local suppliers and customers, ensuring data from operations is complete and correct before transmission to Tacoma Accounting.
  • Creates Stock Transfers and BOL's for Inventory Shipments (Truck & Rail); validates piece counts on loads to ensure accuracy of shipping quantities
  • Creates Interco Invoices for Shipments to Canadian Plants; prepares necessary paperwork for x-border shipping
  • Enter PO's and Production Orders into SAP, when implemented
  • Receives inventory transfers as/when necessary; ensuring proper freight accruals are entered
  • Releases rail cars in timely fashion to avoid demurrage charges
  • Enters Cut-Cards (Stock Transform) for inventory changes (Culls and Cutbacks)
  • Assists Production Accounting Tacoma in annual inventory counts
  • Imports Barkie Loads & Hand-Scale Data to Scale System
  • Imports Classing data to Scale System; reviews Classing reports and exports completed loads daily to LIMS
  • Reviews Scale data and ensures transmission to IDL.
  • Tracks Non-Pole Volumes in Scale System; also tracks Non-Pole inventory for inventory valuation
  • Handles inquiries from fiber suppliers and directs them to appropriate Stella-Jones contact.
  • Assists payroll in assuring accuracy of employee hours and corrections.
  • Circulates payables invoices for coding and approval and forward to Production-Accounting for processing
  • Assist with or perform hand scale of incoming pole loads when required (scaling will require company provided training)
  • Assists with preparation of various production reports
  • Assists as needed in various data entry tasks that contribute to weekly pay and cheque runs
  • Strong communication with log yard supervisor, yard employees, pole buyers and Tacoma Accounting Department
  • Participates and contribute to company safety program.
  • Performs other related duties as assigned.
Resource Operations Support
  • Set up contracts, collect supplier payment information including W9s.
  • Collect contractor information and assist with set up in accounting system as directed by Production Accounting Tacoma.
  • Collect and organize loader sheets and ticket books from SJ Idaho owned or managed Timber Sales.
  • Collect scale information from sawmills and assist Production Accounting Tacoma as directed.
  • Monitor all freight related to SJ Idaho activity for new trucks and gather information to set them up as a vendor.
  • Performs other duties as directed by Resource Group and Production Accounting Tacoma.

Qualifications:

  • Education: Post-secondary education an asset.
  • Experience: 2-4 years of Forest Industry experience in the local area preferred, with an understanding of basic harvesting operations.
  • License/Certification: Driver's License

  • Good computer skills including Microsoft Suite (Excel and Word)

Working Conditions: Mostly indoor with minor outdoor.

Physical Surroundings: Work in office environment with some time spent in production yard.

Adverse Working Environment: None

Physical Effort: Sitting at a desk, some walking on uneven surfaces.

Extensive Hours:40 hours per week
