Shipping & Receiving Coordinator (Finance)



Essential Duties:
  • Verifies and keeps record of incoming and outgoing shipments.
  • Inputs shipping and receiving data and related information, including packing slips and creation of receipts, to ensure timely processing of invoices within MHM's purchasing software.
  • Responsible for loading and unloading trucks, delivering mail, moving material within the facility and from the loading platform by carrying, pushing, rolling, or operating hand trucks, manlifts or other material handling equipment.
  • Unpacks, examines, and routes incoming shipments, rejects damaged items, records shortages, and corresponds with shipper and/or appropriate departmental staff to rectify any issues.
  • Reviews and verifies packing slip information with visual inspections of delivered items and items scheduled for shipping. Ensures material descriptions and shipping quantities match MHM purchase orders. Verifies vendor information, purchase order line items, back-orders, units of issue and receiving dates to ensure accurate invoice and inventory processing. Documents exceptions on bills of lading, packing slips or other delivery documentation.
  • Responsible for monitoring and updating MHM's purchasing software system to ensure system accuracy and reliability as necessary to properly support operational activities.
  • Prepares items for shipment by assembling, packaging, and labeling in accordance with vendor requirements and as necessary to prevent shipping damage.
  • Coordinates carrier pick up for shipments/returns.
  • Maintains an adequate supply of shipping materials and supplies.
  • Receives and processes all defective parts returned for replacement or credit.
  • Generates tracking and aging reports as well as follows up on outstanding deliveries.
  • Ensures shipments of hazardous materials are made in accordance with applicable regulations.
  • Maintains work area and equipment in a clean and orderly condition and follows prescribed safety regulations.
  • Assists with delivering requested items to departments as needed.
  • Stays abreast of safety, environmental, and hazardous material regulations, and procedures.
  • Works closely with Materials Management team for central supply deliveries.
  • Works closely with Procurement team to address issues with damaged/lost orders, returns, replacements, etc.
  • Performs other duties as assigned.
Salary:

Annual hourly rate begins at $17.25. Mid range at $19.74. Actual starting rate will be commensurate with experience and education

Education/Experience:High school diploma or GED required.
  • One year experience in materials management and/or inventory control is preferred.
  • Ability to read and write English.
  • Ability to follow verbal instructions and use simple math.
Language Ability:

Must be able to read and interpret documents such as safety rules, operating and maintenance instructions, and policy & procedure manuals. Must be able to speak effectively with customers or employees of the organization.

Computer Skills:

Ability to demonstrate working knowledge of the Internet, Outlook, PowerPoint, Word and Excel applications.

Other:

Ability to drive and have access to a car; maintain valid driver's license and auto liability insurance Travel requirements, up to 15%.

While performing the duties of this job, the team member is exposed to a medical/dental office environment having direct contact with patients and clients, as well as office staff.
