Lead Front Office Associate (Administrative)
Monday - Friday 7:30 AM - 4:00 PM
Other duties include the following:
Observing and supporting Front Office Associates and the Patient Care Coordinator
30% of in office hours each week will be dedicated to providing feedback to support staff, directing check-in desk and adjusting workflows as needed
Inform the Office Manager and/or Administrative Operations Supervisor of staff problems or concerns
Enforce all NAL policies and procedures in the absence of the Office Manager and/or Assistant Office Manager
Assist in training new Support Staff in conjunction with Support Staff Training Coordinators
Act as liaison between clinicians and Patient Care Coordinators regarding schedule concerns, availability for new patients, and changes in specialties in the absence of the Office Manager and/or Assistant Office Manager
Assist Support Staff with daily duties as needed
Cover for Office Manager and/or Assistant Office Manager in his/her absence or as directed by Office Manager
Manage provider and patient requests/concerns as directed by the Office Manager
Help coordinate and plan summer company picnics and Christmas parties
Opening or closing the clinic if there is not coverage
Faxing and copying
Sorting documents into the electronic chart
Basic knowledge of billing and insurance coverage
Any other projects that the Administrative Manager or Supervisor may assign
Qualifications:
Excellent organizational skills and ability to multitask
Ability to lead a small Front Office team successfully
Proficient computer skills and experience using Microsoft Office
Strong customer service and interpersonal communication skills
Previous front desk, reception/receptionist, administrative assistant, or office experience preferred
High School Diploma required
An interest in psychology, counseling, the behavioral sciences, social work, or healthcare is strongly preferred
Key Attributes of a successful candidate include:
Expertise in providing high-quality customer service in a busy environment
Ideal experience includes working as a barista, or in a fast-paced retail setting (such as working during the holidays at popular stores)
De-escalation skills
Ideal experience includes working in childcare, as a nanny, in an educational setting, or previous mental health experience where expectations change every day; candidate has learned to expect the unexpected, and has had to deescalate someone who is upset
