Corporate - Accounts Payable Administrator (Administrative)



Eastern Sports Management (ESM) is a leading sports facility management company dedicated to creating world-class experiences for athletes, teams, and communities. We are seeking a detail-oriented and reliable Accounts Payable Administrator to join our Corporate Finance team and support the financial operations of our growing organization.
The Accounts Payable Administrator will be responsible for the accurate and timely processing of vendor invoices, expense reports, and payments across multiple locations and business units. This role plays a key part in maintaining strong relationships with vendors and ensuring the integrity of our financial records. The Accounts Payable Administrator reports directly to the VP of Finance.

Essential Duties and Responsibilities
.

Manage Accounts Payable & Credit Card Reconciliations

Knowledge and understanding of general accepted accounting principles is require.

Review, verify, and enter vendor invoices into the accounting system.

Proficiency in Google Suite and MS Office is required.

Ensure proper coding, approval, and documentation for all payables.

Reconcile vendor statements and resolve discrepancies in a timely manner.

Maintain vendor records, including W-9s and payment terms.

Communicate with vendors and internal departments to resolve invoice/payment inquiries.

Manage Office Supplies Inventory as required.

Assist with month-end close by preparing accruals and accounts payable reports.

Support the year-end 1099 filing process.

Maintain accurate and organized digital and paper files.

Qualifications

Proficiency in accounting software, QuickBooks is required

Associates or Bachelors degree in Accounting, Finance, or a related field preferred.

2+ years of experience in accounts payable or general accounting.

Strong Excel skills and general understanding of accounting principles.

Excellent attention to detail and organizational skills.

Strong communication and interpersonal skills.

Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Experience in a multi-location or corporate environment is a plus.

Ability to prioritize work to achieve corporate goals are met on time.

Ability to work independently and perform duties with only initial guidance.

Assist with process improvement initiatives to increase efficiency and accuracy in the AP function.

Assist VP of Finance as needed.

The Accounts Payable Administrator normally performs their duties in a temperature and humidity-controlled office setting. The noise level in the work environment is usually quiet but might be loud at certain times during the day.
