Facility Maintenance Supervisor - KML (Finance)



The Facility Maintenance Supervisor - KML position directly reports to the KML Director with an indirect reporting line to the KML Operations Manager. This position is in Long Key (Florida Keys) at the Keys Marine Laboratory. This position requires the ability to work outdoors in a hot, humid, tropical environment. The Facility Maintenance Supervisor incumbent's main purpose is to manage and maintain all buildings and grounds conditions of the KML facility. This position is regularly responsible for supervising one Staff employee and OPS employees as available This position requires completion of an appropriate experience to total five years. This job requires physical abilities such as trunk strength, manual dexterity, and wrist-­finger movement in order to perform the essential functions of the position. This position may occasionally be exposed to very noisy environments (over 85 db.), toxic or caustic substances, and fumes or airborne particles. This position is sometimes required to lift more than 50 pounds. This position may be required to use hand tools, power tools, ladders/and or scaffolds. This position's normal environment is Outdoor 50-75%; Office/Indoor 25%; and may require work in confined spaces. The physical demands include standing 50-75%; walking 50-75%; kneeling 25% or less; push/pulling 25% or less; lifting 5-50lbs 25-50%. This position's primary purpose is to perform facility maintenance/repairs and to manage all maintenance/repair needs of their team of maintenance and trade workers (both regular and temporary staff).

The Facility Maintenance Supervisor - KML incumbent is responsible for scheduling, coordinating, inspecting and directing the work activities of assigned maintenance staff which may include one Staff employee and OPS employees available. The position will also be responsible for ordering and recommending materials and equipment for the assigned area. This position regularly uses computer technologies and standard computer software applications including Microsoft Office (MS Word & MS Excel). This position may be responsible and accountable for developing or managing budgets and using a USF P-Card to procure supplies. Duties may be substantially varied in nature, requiring solving of both common and unusual problems, with the next level of supervision consulted for clarification of policies. Minimum Qualifications:

The position requires completion of an approved apprenticeship program in a recognized trade and appropriate experience to total five years; or a high school diploma (or equivalency) and five years of appropriate experience; or an appropriate vocational technical training may substitute at an equivalent rate for the required experience. Directly related career experience may be substituted for the apprenticeship program requirements on a year for year basis. Professional experience maintaining buildings and vessels.

Must be able to maintain a valid Florida driver's license.

Preferred Qualifications:

At least five (5) years of experience working in the field of maintenance, preferably within the academic industry. Proficient communication, project management, and organizational skills. Computer skills including ability to work in MS Word and MS Excel. Willing and able to work in different environments, i.e. academic marine vessel, classroom, or laboratory setting. Not limited by motion/seasickness while on the job.

FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.

Incumbent must have sufficient experience and ability to perform alone and supervise a team for:

Building & Grounds Maintenance, Repairs, & Custodial Duties

Level 1 - Supervisor

  • Coordinate and communicate with KML Director & KML Operations Manager
  • Oversee and/or coordinate the activities of subordinates and perform activities to maintain buildings, grounds, and custodial duties, including prioritizing jobs and maintenance schedules.
  • Designated as the KML Property Custodian for all assets and inventory of KML facility
  • Will create, oversee, and implement a Preventive Maintenance Schedule for KML facility
  • Manage preventative maintenance, testing, and repairs of equipment and building systems inclusive of plumbing systems, electrical systems, lighting, roofs, elevators, building interior & doors, etc.
  • Manage compliance requirements for maintenance, repairs and record keeping such as Fire Extinguishers, Emergency Eye Wash Stations, etc. as required by respective local, state and federal authorities.
  • Plan and organize Test & Inspection Schedules of fire extinguishers, Emergency Eye Wash Stations, etc. per compliance requirements of respective local, state and federal authorities.
  • Prepares cost estimates, review design proposals, and maintain records of facility projects costs.
  • Clarifies information on work orders by contacting vendors.
  • Assists skilled craft workers by performing tasks such as preparation of job sites or surfaces, carrying tools and equipment, and assisting with needed repairs.
  • Provide reports (such as estimate vs. actual costs and expenses vs. revenues).
  • Prepare daily/monthly/yearly priorities for maintenance team per PM, Project, and Operations priorities in coordination with KML Operations Manager.
  • Provide operational reports (weekly work logs, project updates, preventative maintenance progress, supply inventories/procurement needs, etc.)
  • Requisition or purchase tools, equipment and material.
  • Supervise, coordinate/schedule, and perform custodial tasks; Coordinates schedule with Admin Team to meet normal requirements without interfering with residents or occupants of office space. Inspects buildings, rooms, storage space, hallways, fixtures, and custodial equipment to observe the results of work.
  • Recommend materials and equipment for custodial tasks. Requisition of appropriate materials and supplies as needed.
  • Point of contact for KML Facility emergences. May require on-call availability for evenings, weekends, and holidays.
  • Assist with hurricane preparations and cleanup

Level 2 - Technician

Maintains buildings, grounds and provides custodial services

  • Installs, repairs, and removes equipment, signs, and fixtures.
  • Cleans light fixtures, replaces light bulbs and makes minor adjustments to switches and electrical controls.
  • Performs repair work to drywall, plaster, ceilings, windows, doors, and door hardware.

Custodial duties include:
  • Sweeps and mops floors in assigned areas. Vacuums rugs and carpets. Picks up trash and refuse in rooms, hallways, restrooms, classrooms, etc. Transports waste and recycle bins to central area or main disposal receptacle.
  • Cleans and sanitizes restrooms including vanity/sink, mirrors, walls, commodes, doors, etc. May also restock restroom supplies as needed.
  • Dusts, polishes, and/or cleans furniture, mirrors, doors, vents, walls, door frames, ceilings, window ledges, etc. Also removes cob webs and may need to occasionally move small furniture (e.g., chairs).
  • Operates, pressure washers and special cleaning equipment to clean buildings, laboratories, equipment and platforms.
  • Checks equipment or vehicles for proper fluid levels, changes filters, belts, cleans pans and coils.
  • Sets up, breaks down and cleans furniture, equipment and facilities for regular and special events.
  • Performs safety inspections on emergency devices.
  • May perform hurricane preparation and clean up duties such as clearing roof drains, hurricane shutters, securing facility, filling and positioning sand bags, clearing debris etc as needed.
  • Assist other KML staff or academic and research groups on site.

Performs other miscellaneous maintenance, grounds, and custodial duties as assigned Apply
