Cornman Farms Administrative Assistant (Finance)
Part-Time, $16.00/hour, up to 29 hours per week.
Shifts are typically between 8:00am-6:00pm Monday-Sunday
Reports to: Managing Partner (also reports to any manager while on shift)
Performance Expectations:
Essential Functions:
Answer the Cornman Farms telephone line and initially respond to general questions and wedding and corporate event inquiries
Direct calls to the proper people and/or communicate messages
Offer inquiries the best options based on their estimated guest count and other information provided
Handle all administrative tasks associated with event booking, including scheduling tours, customer communications, estimate creation, contract development, online invoicing, and deposit collection
Create, maintain and improve task card systems and standard operating procedures (SOPs) for office related work
Assemble sales packets and informational materials for tours
Document customer feedback
Coordinate mail flow in and out of office (Get mail from mailbox)
Manage the ordering, receiving, stocking and distribution of office supplies
Handle orders, payments and changes for retail purchases and publicly ticketed events
Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Perform other related clerical duties such as photocopying, faxing, filing, collating and scanning
Maintain Cornman Farms calendars and scheduling
Assist customers with online reservations for Cornman Farms public events
Maintain our customer databases and inquiry tracking documents by periodically updating open and lost leads and maintaining database to reflect accuracy
Maintain Point-Of-Sale stock (flyers, business cards, etc) on floor and in back stock
Take notes during weekly huddle (meeting)
Reports on bookings at huddle (meeting) monthly
Deliver the Zingerman's experience to all guests, including following the 5 Steps to Handling a Customer Complaint
Provide other support as needed
Complete training within time frame and attend meetings as required
Assist with creating and implementing systems and processes
Identify and implement process improvements to increase efficiency and accuracy
Handle sensitive information in a confidential manner
Other Functions:
Lead tours as needed
Refresh beverage station as needed (prepares coffee, puts out glasses, etc.)
Assist with events coordination and setup/breakdown as needed
Serve as a host/server during special functions (Farm Dinners, scheduled tours, etc) if needed
Assume responsibility for coordinating the maintenance of office equipment, including computers and copy machines
Success Patterns:
At least 1 year of experience in a clerical/administrative role
Able to type at least 40 words per minute
Experience giving customer service over the phone and in person
Experience in a restaurant or events facility preferred but not required
Strong skills in data entry, Google Applications, Microsoft Office, Google Docs, and the Internet
