Executive Administrative Partner (Human Resources)
Administrative Partnership
Manage travel arrangements and itineraries for Executive Team members.
Process conference and training registrations.
Process reimbursements and submit expense reports via Concur for members of Executive Team.
Process payroll and action items in UKG Ready.
Prepare a variety of meeting preparation and administrative items: name tag creation, agendas, name plates, PowerPoint presentations, communications, etc.
Partner with the Mission Advancement Team for any mailings or solicitation needs.
Collaborate on special projects and initiatives for Executive Team or as requested.
Support onboarding initiatives for direct reports of the Executive Team.
General Board Committee Administrative Support
Directly support the People & Culture Committee, and the Development Committee of the General Board.
Support various task forces of the board as requested.
Manage administrative tasks for board and committee meetings, including taking and recording minutes, tracking attendance, setting up materials in BoardEffect, creating agendas and presentations, and distributing materials in advance
Partner with Executive Team for prep and planning in advance of committee meetings.
Collaborate on special board projects as requested.
3. Qualifications:
Required:
High school education or equivalent and secondary level course work.
Minimum of three (3) years of executive level administrative support experience to include composing, editing and proofing correspondence.
Advanced skills using Microsoft Office Suite; Outlook, Word, Excel and PowerPoint
Ability to exercise clear independent judgment, handle and manage sensitive and confidential information with discretion and complete tasks in a professional timely manner.
Previous experience working and interacting with board members.
Exceptional organizational and administrative skills.
Strong communication skills both verbal and written.
Excellent interpersonal skills and ability to establish effective working relationships demonstrating professionalism and maturity.
Ability to work with staff at all levels within the organization.
Ability to work independently and multi-task in a rapidly changing environment with the ability to prioritize duties from multiple individuals.
Ability to serve in a leadership role with various projects and activities.
Ability to work with diverse populations.
Ability to handle confidential information with the highest level of discretion.
Preferred:
Bachelors degree in a related field
Knowledge of YMCA operational policies and procedures
Bi/multilingual
4. Relationships:
This position reports to the Senior Partner of Executive and Board Operations who reports to the Vice President of Advancement and CEO. The incumbent will provide administrative support to executive team and other leaders as needed.
5. Physical Demands:
Must be able to sit and work on a computer for extended periods.
Must be able to travel locally to YMCA branches and other program sites.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Must be able to physically assist in special events such as setting up, taking down, and lifting, carrying or pushing up to 50 pounds.
